Lodgement of Import & Export Declarations

Lodging paper clearances manually must now be scanned and emailed to customs.info@cookislands.gov.ck. This includes relevant supporting documentation.

Customs clearances listed below is to be completed by Approved Customs brokers only.

To facilitate and expedite the handling of email documentations we kindly ask that you adhere to the following process.

The email subject line should contain the following information only.

1. PRIVATE IMPORTER DECLARATIONS (PID)

Email Subject Line: PID and Name of Importer 

 Attachments:

ü Complete Import Entry CICS Form 056

ü Complete Import Delivery Order CICS Form 051

ü Invoices, receipts or proof of payment attached

ü Waybills or bills of ladings

ü Packing list

ü Private Importer Declaration completed by importer

ü Copy of valid ID attached – Passport or Driver’s License

ü Permits (restricted or prohibited import) if applicable

2. NON COOK ISLANDER (Concession 8501)

Email Subject Line: 8501 and Name of Importer

Attachments:

ü Completed CICS Forms 60 and 60A, 63 and 64 (if applicable);

ü Copies of passports of all those listed on CICS Form 60 and 60A;

ü Copies of work permits issued by Cook Islands Immigration (if applicable);

ü Employment contract (if applicable);

ü Statutory declaration from a recognised person of having lived overseas for three years or more prior to their arrival in the Cook Islands;

ü Statutory declaration from a recognised person to prove that you have arrived to take up work or to live for three years or more in the Cook Islands;

ü Complete list of baggage/shipment contents;

ü Airway bill, bill of lading or arrival notice;

ü Receipts for all unaccompanied personal effects listed in CICS Form 60;

ü Ownership and registration papers for a motor vehicle being imported (if applicable);

ü Letter of authorisation from the owner/importer if the unaccompanied personal effects are being declared on their behalf; and

ü Any relevant approvals/ import permits for unaccompanied personal effects that are listed as prohibited or restricted on CICS Form 60.

3. RETURNING COOK ISLANDER (Concession 8502)

Email Subject Line: 8502 and Name of Importer

 Attachments:

ü Completed CICS Forms 60, 60A, 63 and 64 (if applicable);

ü Copies of passports of all those listed on CICS Forms 60 and 60A;

ü Copy of birth certificate or Cook Islands endorsement stamp to act as proof of being a Cook Islander;

ü Statutory declaration from a recognised person of having lived overseas for three years or more prior to their arrival in the Cook Islands;

ü Statutory declaration from a recognised person to prove that you have arrived to take up work or to live permanently for three years or more in the Cook Islands;

ü Receipts for all new unaccompanied personal effects;

ü Letter of authorisation from the owner/importer if the unaccompanied personal effects are being declared on their behalf; and

ü Any relevant approvals/import permits for unaccompanied personal effects that are listed as prohibited or restricted on CICS Form 60.

4. EXPORT ENTRY

Email Subject Line: EXP and Name of Exporter

 Attachments:

ü Completed CICS Forms 55, 55A

ü Completed Export Delivery Order CICS Form 51B

ü Invoices, receipts or proof of payment attached

ü Airway bill, bill of lading

ü Certificate of Origin ( if applicable)

ü Sanitary Certificate ( if applicable)

ü Permits ( restricted or prohibited export)

5. PERMIT ENTRIES [short shipped, replacement or double entry]

Email Subject Line: PE and Name of Importer

 Attachments:

ü Complete Import Entry CICS Form 056

ü Complete Import Delivery Order CICS Form 051

ü Invoices, receipts or proof of payment attached

ü Credit note ( supplier)

ü Original clearance ( if applicable)

ü Airway bill, bill of lading or arrival notice;

ü Packing list

ü Permits ( restricted or prohibited import) if applicable

ü Any supporting documents

6. TEMPORARY IMPORT ENTRY

Email Subject Line:  TIE and Name of Importer

 Attachments:

ü Complete Import Entry CICS Form 059

ü Complete Import Delivery Order CICS Form 051

ü Invoices

ü Airway bill, bill of lading or arrival notice;

ü Packing list

ü   Permits ( restricted or prohibited import) if applicable

ü   Any supporting documents
